Interlibrary Loan has made a few changes to its’ service and users will see the impacts beginning in July 2024. The goal of these changes is to expand ILL service to all UF Smathers Library branches, improve Interlibrary Loan account UI, and optimize the check out and return of ILL materials at every circulation point.
Feedback from users is greatly appreciated – please feel free to contact the Interlibrary Loan office with any questions, comments, concerns, or to provide feedback.
Overview of Service Changes
Interlibrary Loan account webpages have been updated to a newer cleaner interface.
Interlibrary Loan has added new request form types, to help streamline the request process for specialized materials. The new interface has a larger font size and an updated, modern look.
Users can adjust their designated pick-up location through their Interlibrary Loan account.
Interlibrary Loan materials can now be picked up at the following locations: Architecture and Fine Arts (AFA) Library, Education Library, Health Science Center Library, Marston Science Library, and Library West.
Please note the pick-up location is determined at the account level, and not at the point of request. In-Library Use Only material can only be used at Library West, regardless of account pick-up location.
Interlibrary Loan Materials will now be checked out and returned at every circulation desk.
The checked-out material will be displayed on your UF Interlibrary Loan account. Checked out and returned materials will now be taken off the UF library account immediately.
ILL and UBorrow materials will be held for 14 days.
Please reach out to circulation staff if unable to pick up Interlibrary Loan or UBorrow material during that time period. Short extensions, no more than a few days, can be allowed.
ILL items will now have a loan period of 16 weeks, no renewals.
The new loan period of 16 weeks will be visible from the UF Library account. ILL media items will have a loan period of 6 weeks.
In-Library Use Only material can only be used at Library West, also for 6 weeks. All recalls on ILL material must be honored.
Return ILL materials to any library circulation desk (with the paperwork).
Please ensure that all paperwork remains attached to an Interlibrary Loan or UBorrow request.
Kindly return items directly to a circulation desk and avoid using return bins to keep the paperwork together.
ILL physical loan due dates will only be visible from a UF Library account.
The ILL library account will no longer display due dates for ILL physical materials. Electronic article or chapter scans will still be accessed through the Interlibrary Loan account.
Please note that there will be a period of transition between material borrowed before July, and material processed under the new workflows.
Users with older material can contact the ILL office with any questions about due dates, renewals, or extensions.
Interlibrary Loan notices will change.
Users will receive a notice once the ILL material has been processed and is enroute to the pick-up location.
An additional notice will then be sent once the item has been processed for the hold shelf.
Users will also receive a return confirmation notice once the item has been discharged from their library account.
Interlibrary Loan materials will have a shorter time to “Lost” status.
ILL materials will continue to have no fine accrual for overdue materials, however, the material will receive a “lost” status after 3 weeks overdue.
Please be sure to reach out to the ILL office regarding overdue material to prevent being invoiced.
If the owning institution recalls the material or invoices for the item, the due date will be shortened.
Feedback from users is greatly appreciated – please feel free to contact the Interlibrary Loan office with any questions, comments, concerns, or to provide feedback.
